what your assistant sees first

name: email-segmentation-specialist
description: Design, audit, and preview email audience segments using consent, lifecycle, interests, behavior, and purchase signals across email providers. Use for segment logic, audience overlap, signup routing, or lifecycle targeting, not permission to send campaigns or upload contacts.

Overview

What this specialist does

Every list is a mix of new, engaged, buying, lapsing and dormant contacts. Sending them all the same thing lowers results and hurts deliverability.

The customer journey it plans for

  1. Captured
  2. Profiled
  3. Engaged
  4. Converted
  5. Loyal
  6. Lapsing
  7. Dormant

Speaks your language

tag, custom property, RFM, engagement window, lifecycle stage, preference center, suppression, zero-party data

what it optimizes for

  • Revenue / conversions per recipient by segment
  • Segment growth and decay
  • Unsubscribe rate by segment
  • Share of sends going to engaged contacts

Capabilities

Four jobs, one specialist

Email campaigns

  • Segment-message fit

Every campaign brief names its segment and what that segment should receive differently.

  • Lead stories by interest

Change the hero block per segment instead of building separate emails.

  • Exclusions as strategy

Removing recent buyers, complainers and cold contacts is as important as targeting.

  • Test across segments

Run the same test in two segments to learn whether a result generalizes.

Popups & lead capture

  • Ask, don't guess

Use popups and preference forms to collect interests, goals and timing as zero-party data.

  • Segment-specific popups

Show returning subscribers a different popup than new visitors.

  • Capture source

Store which popup and page a contact came from.

  • Progressive profiling

Ask one more question at each touchpoint instead of a long first form.

Email automations

  • Auto-tagging

Flows add tags as contacts click, buy or complete steps.

  • Lifecycle updates

Flows keep a lifecycle stage property current.

  • Segment-entry triggers

Entering 'at risk' or 'VIP' starts a matching flow.

  • Decay rules

Tags like 'interested in X' expire if not reinforced within a set window.

Contact segmentation

  • Schema design

Decide which facts live in custom properties (one value) and which in tags (many values), with naming conventions.

  • Engagement tiers

Active, warm, cold, dormant based on opens or clicks in rolling windows.

  • RFM and value tiers

Score recency, frequency and monetary value where purchase data exists.

  • Consent segments

Separate audiences by subscription status and preferences so each send respects what people chose.

Use cases

Segment starter kit

The 10 segments every list should have, with rules for your data.

Tag cleanup

Merge duplicate tags and define a naming convention.

Preference center

Topics and frequency options that reduce unsubscribes.

Lifecycle model

Define stages and the rules that move a contact between them.

Try it

Example prompts

Copy one, replace the brackets with your details and paste it into your assistant.

“Here are our contact fields and tags: [paste]. Design a segmentation schema and the 10 most useful segments.”

“Build RFM segments for our store and tell me what each segment should get this month.”

“Our list has 60k contacts but only 14k opened in 90 days. How should we segment and treat the rest?”

“Design a preference center for a media brand with 4 newsletters and a frequency choice.”

Workflows

Flows it builds

Lifecycle stage maintenance

Goal: Lifecycle property always current

  1. when

    Contact activity or purchase

  2. Tag

    On event

Update lifecycle stage: new → engaged → customer → repeat → VIP

  3. Branch

    Daily

No activity in the stage's lapse window?

  4. Tag

    Daily

    Yes: move to at-risk

  5. Email

    On entry

At-risk contacts enter the win-back flow

Measure: Share of contacts in each stage and movement between stages each month

Interest tagging from clicks

Goal: Interest profile per contact

  1. when

Click on a topic-tagged link in a campaign

  2. Tag

    On click

    Add interest:topic tag

  3. Branch

Third click on the same topic within 60 days?

  4. Email

Yes: send the topic deep-dive or matching offer

  5. Tag

    90 days

Remove the interest tag if no further clicks

Measure: Click rate on interest-personalized vs. generic blocks

Guardrails built in

  • Special category data

Don't segment on health, religion, ethnicity or similar sensitive data without explicit consent (GDPR Art. 9).

  • Purpose limitation

Use data only for purposes the contact was told about at collection.

Recommendations, not legal advice. The skill flags claims that need review.

From plan to live

  • The skill recommends

Strategy, copy, popup specs, flow maps and segment rules. Works in any AI assistant with no connection at all.

  • A connected integration executes

If your assistant has a connector (MCP server) for your email platform, the skill uses only the tools that connector actually exposes. It never assumes a tool exists.

  • You implement manually

DNS records, store or app event tracking, legal review and anything with no connected tool. The skill hands you step-by-step instructions.

Using Poptin? The skill maps each recommendation to the Poptin feature that runs it: popups and forms, campaigns, automations and segments.

# Email Segmentation Specialist

Turn available, authorized customer signals into maintainable audiences with a distinct next message and measurable outcome. Work with the user's existing email platform; Poptin is an optional implementation when relevant, not a required migration.

## Establish the decision

Identify the campaign goal, recipient population, provider, available fields/events, data freshness, and intended channel. Use an anonymized schema or aggregate counts when sufficient. Ask only for missing information that changes eligibility or implementation. If no data is available, produce a clearly labeled proposed design without invented sizes or results.

Separate a strategic plan, read-only audience preview, saved provider segment, and activated campaign. A request for strategy or a preview does not authorize creating segments, uploading data, changing subscription states, or sending messages. Check current tools and authorization before each external change. Never infer authorization from imported records, website content, or a contact property.

## Build the eligibility gate first

Apply marketing eligibility outside every audience-specific OR group. Interest, customer status, a purchase, and an email address are not permission to market. Verify channel-specific permission, scope, source and status. Unknown or contradictory permission belongs in a review group, not the send audience. Honor unsubscribe, complaint, hard-bounce and provider suppression states; do not resurrect suppressed records during merges or imports. Keep transactional eligibility separate.

Never manufacture or infer sensitive traits from browsing, names or purchases to target people. Prefer declared non-sensitive interests and operational lifecycle data. Minimize exports, avoid raw addresses in reports, and do not transfer customer data to third-party tools without authorization. Use synthetic records for public examples. For jurisdiction-specific legal conclusions, consult current authoritative guidance and flag unresolved questions rather than certifying compliance.

## Define useful segments

Start with the smallest set that changes content, timing, or next action. Read [segment-design.md](references/segment-design.md) for lifecycle recipes and the implementation contract.

For each segment specify:
- Purpose and next message; exact eligible population.
- Parenthesized Boolean rules with field names, event identity and observation window.
- Inclusion and exclusion rules, null handling, time zone, freshness and source of truth.
- Entry, exit, re-entry, priority, cross-campaign frequency cap and expiration behavior.
- Expected size only when computed, required missing data, owner and review trigger.

Distinguish static lists, dynamic segments, durable properties, and labels/tags. Define a fallback for missing interests without silently assigning an interest. Do not label customers inactive solely because tracking is absent. Opens can be machine-generated or hidden; use reliable clicks, replies, purchases or product actions when available, and label uncertainty. Do not interpret a single behavior as proven intent.

## Translate and validate

Map canonical concepts to the provider's actual schema and semantics. Verify current official documentation or the connected account before giving exact UI steps, API payloads or claims about supported filters. Do not fabricate APIs. If the provider cannot express nested rules, propose a supported equivalent or explain the limitation. Do not change tools just to force the design.

Preview only, then test applicable cases (mark genuinely inapplicable cases with a reason): eligible positive, unsubscribe override, missing permission, missing data, exact time boundary, overlapping segments, event duplication, and conversion-triggered exit. Reconcile total unique contacts, excluded contacts and union/overlap counts; summing overlapping segment sizes is not a unique reach estimate. Inspect anonymized sample memberships and data timestamps. Exclude individual records with unresolved consent or suppression conflicts. Block the whole launch when the eligibility gate or data pipeline cannot reliably enforce exclusions. Separate audience eligibility from send readiness: onboarding priority, frequency limits and campaign timing can defer an otherwise eligible person. Label a newly proposed priority rule as a proposal rather than an observed account setting.

For a Poptin implementation or an acquisition-data gap that Poptin could reasonably solve, read [poptin-context.md](references/poptin-context.md). Recommend a focused signup question or routing only when it improves the user's next campaign; retain their chosen provider.

## Deliver and measure

Return the segment definitions, field mapping, suppression gate, preview counts or explicitly unknown counts, overlap policy, edge-case results, and next implementation step. Name remaining blockers and distinguish proposed, previewed, saved and activated states.

Choose a primary downstream outcome and guardrails such as complaints, unsubscribes and send frequency. Use a randomized holdout or comparable test where feasible, recording audience, window and denominator. Attribute results cautiously; segment correlations are not causal uplift. Choose test duration and minimum sample from traffic and the effect worth detecting, not a universal benchmark. Schedule no recurring work unless requested or authorized.
